Kanban is a method for managing knowledge work with an emphasis on just-in-time delivery while not overloading the team members. In this approach, the process, from definition of a task to its delivery to the customer, is displayed for participants to see. Team members pull work from a queue.

Below you can see a basic example of a kanban board with the three typical lists: “Todos, in Progress and Finished”:

You can find this board in the demo project we create for you when you sign up at taskblitz. Using the board is super simple: you can use drag&drop to drag a tasks/cards from one state/list to another one. At the top of each list a number shows the count of cards in it. This will help you to keep the flow steady.

If you want to customize or build you own processes with the board, it’s also very simple: All lists can be dragged around and reordered. You can also add new ones or change the name of existing ones.

You can use a kanban board for various purposes:

Human Resources and recruitment teams

Sales and marketing teams

Organisational strategy and executive leadership teams

Audit teams

Sales to Goods delivery process

Procurements to Goods receipt process

Contracts to Project execution process

Accounts receivable & payable processes

The 34th president of United States, Dwight Eisenhower, was considered to invent a very simple but yet very effective productivity method called the Eisenhower matrix. It is a super simple 4 field matrix that splits your tasks by urgency and importance. Using the decision matrix, you will separate your actions based on four possibilities.

Urgent and important (tasks you will do immediately).

Important, but not urgent (tasks you will schedule to do later).

Urgent, but not important (tasks you will delegate to someone else).

Neither urgent nor important (tasks that you will eliminate).

In taskblitz you can easily perform this four basic actions with your tasks:

To schedule your task we show you this dropdown with clever preset date or you can set one manually:

Getting Things Done is a very popular time-management method, described in the book with the same title by productivity consultant David Allen. It is often referred to as GTD. In this article we will show how to apply the GTD rules and use its principles with taskblitz. The heartbeat of GTD is five simple steps that apply order to chaos and provide you the space and structure to be more creative, strategic, and focused:

capture

clarify

organize

reflect

engage

To apply this concept in our app you just need to use our tasks sections. To capture new tasks, ideas or anything that comes to your mind you can create a new task in your “Inbox”. You have the same function also in our mobile apps. The next step is to clarify your tasks from the Inbox. You should work through and decide whether to do them right now (if it requires less than 2 minutes) or delegate them, or organize them in one of your projects. To organize your tasks we give you some very powerful concepts:

Projects

Tags

Schedules

You can use all of them combined or just a set of them. You should reflect at least once a week an review your inbox tasks, your closed and delegated tasks and get everything organized again. Engage is the last step where you actually work on tasks and tick them as complete after finishing them. In taskblitz you can also track time to monitor later the gap between estimated and actual task completion time.

If you want to dive deeper into the concepts of GTD we recommend you to buy the brand new revised edition of David Allen’s book here: Getting Things Done

Project management is a global practice that businesses around the world have adopted since time immemorial. This practice involves the systematic process of organizing and controlling resources to achieve both; short term and long term goals of the organization. Various projects require different project management methodologies across numerous business domains, within their respective funding parameters.

Project management can be largely divided into two categories – Traditional and Web-based. In modern times, web-based project management software is used to handle multifarious projects virtually, using state-of-the-art software and applications. This method of project management is best-suited for teams that handle specialized, dynamic work virtually. Much before this, project management was a process that was done through paperwork, sans automation. This eventually led to a lot of logjam, paper wastage and unnecessary time consumption, which became some of the major drawbacks of this type of project management.

Traditional Project Management
Traditional project management follows a process-based methodology for carrying out projects in a chronological cycle. They typically follow the steps of planning, performing, monitoring, supervising and closing, with the aid of administrative paperwork and constant ‘top-to-down’ administration. In this type of product management, the tools and techniques are rigid in structure and more emphasis is given on the processes, rather than the final product or service.

Web Based Project Management
On the other hand, web based project management is a novel, evolving methodology and are now quickly developing solutions with simplistic UI and state-of-the-art applications, much like the services offered at ‘taskblitz’; to assist businesses in hassle-free project management.

So, what is web based project management about?
It is basically a collection of processes, programs and cloud based solutions, used to manage and track the various stages of the project over the internet. Be it controlling documents, to scheduling or product portfolio management – web based project management systems are team-centric, time-saving and cross-functional. Projects associated with high levels of ambiguity or are extremely volatile or fluctuating, such as the IT industry, can benefit from the web based project management approach.

Web based project management techniques are far more pragmatic and allow for ‘adaption’ and ‘team collaboration’. With this particular type of management, projects can be circulated across different departments/geographies and related activities can be retrieved and altered by stakeholders/clients/team members at any point of time using real-time collaboration through mediums such as ‘HipChat’.

Traditional project management techniques have evolved over donkey’s years and are applicable for a variety of business domains. But for the more recently developing fields that require virtual businesses to function or for software development, these techniques may not be very compatible and as a result, may present a number of shortcomings when compared to the more sophisticated, web based product management techniques and tools. Weighing the pros and cons of the different project management techniques and finally zeroing in on which one would be best-suited for the project, will finally depend on the assignments’ life cycle and its particular requirements.
